Job Description



The Scheduling Specialist is responsible for efficiently and accurately scheduling all Cardiology Clinic patient appointments, coordination of the physician clinic schedules and ensuring the staff members, clinic calendars and clinic schedules are current; verifies insurance and insurance authorization; and provides a full range of clerical functions in support of department.



Coordinates and provides oversight of the CRS & pediatric sub specialty physician clinic schedules; coordinates with staff, physicians/providers and their office personnel to arrange all clinic schedules; coordinates with private office personnel to arrange all pediatric sub specialty clinic schedules; reschedules physician clinic dates & times as requested directly by the provider or their office personnel; completes and confirms all hotel reservations for providers; completes and confirms clinic dates & times. Prepares patient/member for appointment and contacts members with appointment information; completes initial verification of member's medical insurance; communicates with family by letter and phone regarding date, time and place of appointment including provides necessary materials and instructions in an understandable manner and provide patient with appropriate pre-appointment instructions as demonstrated by documentation and customer feedback; documents in scheduling all actions taken in communicating appointment information to members or patients; mails out all appointment notices; informs clinical staff if the family or the physician's office identifies barriers for appointments or has questions about their medical care; coordinates patient's requests for alternative appointment dates. Coordinates and provides oversight of CRS patient appointment schedules; finalizes each clinic schedule by arranging patients to the appropriate date and time slots based on nursing, provider or family requests; ensures patients have future appointments scheduled; manages requests for specific examination rooms, particular scheduling requirements and member or patient procedures; coordinates with team members to meet the needs of the physician and the patients; documents all member and patient appointments through use of the YRMC EPIC scheduling system; records accurate notes on appointment schedule all patient comment notes and determines and documents new or established patient status. Performs a full range of administrative/clerical functions in support of department staff, leadership and providers; documents preparation, data entry, filing, office administration, office equipment maintenance and supply procurement; maintains computer information, as changes are required as demonstrated by audit; operates and assists others with equipment in safe and efficient manner: i.e., telephone, Midas, FAX, printer, laser printer, Chartmaxx and other related items; answers telephone lines promptly and courteously; takes messages, routes calls, and communicates pertinent patient information to the team members; supports the Front Office personnel as needed; orders departmental office supplies; submits applications as requested by families or providers; assists member & family walk ins. Maintains accurate patient demographic information and complete all mandated clinic reports; updates member demographic information in the electronic health record system based on information received on returned mail or from data research; runs monthly United Health Care Report; runs bi-weekly YRMC report. Communicates clearly and effectively (verbally, electronically, or in writing) all relevant and pertinent information to appropriate persons (co-workers, customers, general public, patients and physician); handles and reports all information to ensure timely completion of registration process, appointment scheduling, and/or verification of insurance coverage. Performs other duties as assigned.
