Summary

The Supervisor Cancer Center Scheduling is responsible for supervising employees engaged in scheduling, eligibility, registration, and insurance verification. Ensures documentation is accurate, financial information is verified, and provides information to appropriate areas in a timely manner. Ensures denials are reviewed for appointments associated with outpatient and other practices. Utilizes principles of customer service, scheduling guidelines and provider protocols. Proactively counsels patients and staff on insurance/managed care issues, and provides a positive patient experience at all times. Responds to inquiries in a professional manner within the guidelines of hospital policy and procedure, and communicates using active listening, thinking/analysis, and appropriate professional response.

Responsibilities

Problem Resolution Identifies and listens to concerns within area of responsibility and provides resolution when possible in accordance with policy; involves members of the leadership team or other members of the organization to resolve challenging problems ensures complaints are documented in accordance with specified guidelines as evidenced by documentation; utilizes strong communication skills to effective exchange of information with others; communicates to physician/assistant latest insurance information and indicates any action that needs to be taken. Communication Ensures solid communication with administrative and nursing staff (re: potential scheduling issues); provides effective exchange of information with others; including written oral communication, active listening, influencing the behavior of others and building personal rapport; addresses and resolves Patient, Management and Physician concerns within area of responsibility Patient Management / Registration Obtains and/or provides patient information necessary for visit and obtains, maintains and enters accurate and complete patient registration data; accurately creates new medical record for patients; reviews and verifies patient identifiers, demographics: home and daytime telephone numbers, street name, number, city, state and zip code and current medical insurance; performs RTE on patient's insurance eligibility; creates appropriate guarantor account(s); coordinates clinical and administrative aspects of the new patient scheduling encounter including the provision and dissemination of information to the patient/customer as needed or required; acts as front line liaison for troubleshooting potential patient problems. Financial Assures current method of payment for services rendered; maintains technical knowledge of software applications and a detailed understanding of the requirements of CMS, Medicare Compliance, AHCCCS, Blue Cross and other third party payers, in a rapidly changing environment; uses appropriate technology to facilitate the collection and analysis of performance data; maintains a basic knowledge of all managed care plans with which practice participates; maintains a basic knowledge about which insurers require a referral or co-payment Planning/Vision Goals Provides vision, forward thinking and strategic planning in a proactive manner while being open-minded and creative in establishing a strategic direction. Assists in integration of ideas of those involved, an organized strategy to achieve both short term and long term objectives for the department; establishes clear goals and objectives for team; conducts team meeting to discuss results and progress made on identified goals; develops, recommends and presents training needs and solutions for performance problems; develops, revises and implements departmental policies and procedures to accomplish objectives; coordinates, evaluates, develops and revises departmental procedure manual Data Analysis and Reports Uses appropriate technology to facilitate the collection and analysis of performance data; provides Director with regular updates of key performance indicators and productivity/utilization of staff; collaborates with Information Technology for future enhancements and/or system upgrades while balancing needs of the area. Human Resource Management Provides human resource management for area of responsibility including, but not limited to: ensuring appropriate staff are available to meet the needs of the unit; providing input into the selection process; setting clear work expectations and coaching employees as needed for success; participate in the selection, orientation, supervision, continuing education, and evaluation of personnel; adjusts staffing and work schedules to provide adequate coverage as related to workload. Exercises independent judgment to triage clinical issues to the provider or designee to determine appropriate scheduling action
